The student record separates the tutor's private observations from shared progress. Visibility depends on the role, relationship and subject associated with the record.

Before you start
- The Student File feature is available for the involved accounts.
- The tutor and student have an eligible learning relationship for the chosen subject.
- A parent uses their own account and a verified family relationship.
Steps to follow
Choose the correct student and subject
The tutor opens the student's panel and chooses the record linked to the relevant subject. Every tutor and subject has its own record, while a General record remains separate from booked subjects.
- Open the student from the tutor hub.
- Choose an existing record or create one for the correct subject.
Expected result
The exact tutor–student–subject record opens without mixing information from another context.
Keep working observations in the private area
The tutor can save working notes in the private section, separate from shared progress. Neither the student nor parent receives access to these observations through their progress panel.
- Write an observation only in the field marked private.
- Move information into shared progress only when it is intended for the student.
Expected result
The note remains visible to the tutor, while shared panels contain only intentionally published information.
Use the timeline for context
The timeline combines shared record, objective, rung, lesson-summary and reviewed-homework events. Rungs are additive, and reaching the ceiling prevents the same progress from being awarded again.

- Load another page when more history is available.
Expected result
Progress can be followed chronologically without exposing the tutor's private notes.
If something does not work
I cannot find the subject in the records list.
Check the learning relationship and existing bookings; when appropriate, the tutor can create a separate General record.
I cannot add another objective.
A record keeps no more than ten objectives, including completed ones. You may update an existing objective when it still tracks the same goal, but you currently cannot delete an objective or free a slot for an eleventh one.
A parent cannot see the child's progress.
Check the family link, selected child and whether the tutor has published shared information for that subject.

What can the student see in their record?

No. They stay visible only to the tutor; the student and, where applicable, the parent only get access to the shared progress area for that subject.

Open your record and the progress area; the goals and achievements published for that subject appear there, updated as new entries are added.

No, each record is tied to one subject; visibility and shared content can differ from one subject to another.
Does a parent have access to the tutor's private notes?
No. When family functionality is active, a parent only follows the child's shared progress, without access to the tutor's private area.
