Set up lessons you teach on the platform
Updated September 27, 2026 · 22 min read
The quick setup guide asks for your name, date of birth, and a photo, then saves your schedule and first subject. Trial lessons and paid lessons have separate steps, and choosing “Later” does not delete your progress. Saved information does not automatically mean your offer is approved, public, or ready to receive money.
At a glance
Who this is for
Tutor with Trial access or access to paid-lesson setup on the Hola25 platform
Estimated time
10–20 minutes
Outcome
You have saved subjects, rates and availability, configured rules, and prepared forms
Before you start
- You are signed in to a complete tutor account.
- You have independent Trial access or your paid-only application is not Rejected.
- You have prepared the subjects, rates and times when you can teach.
Steps to follow
Review approval and readiness
Open Tutor account. With Trial access, you can configure availability and the Trial subject separately from the paid-lesson application. A rejected paid-lesson application still keeps paid-only settings unavailable. Saving your first subject does not approve it or make it public.
If you have not submitted the paid-lessons application yet, use the step on the booking card. The agreement is separate: under Settings → Documents, open the Terms for Teachers Offering 1:1 and Group Lessons, select “I agree” and choose “Confirm” before or after application approval. Country and tax residence are not part of this request. Follow status from "View request" or My requests.
After approval, open Settings → Fiscal details and payouts. For Romania, enter the CUI; Hola25 brings in the company details from ANAF and you complete anything missing. Select Continue to Stripe and confirm the account where you receive money. When you return to Hola25, we check that the information matches.
- Open Tutor account.
- Read approval status and the readiness list.
- Submit the paid-lessons application from the "Activate tutor account" step, if you have not already.
- Confirm the paid-lesson agreement separately under Settings → Documents.
- In Settings, open Fiscal details and payouts, submit the requested information, then continue on the Stripe page when the action becomes available.
- Save the subjects, rates, rules or forms you prepared.
- Configure availability without waiting to submit the application or receive approval.
Trial lessons and paid lessons stay separate
Under Settings → Documents, confirm the trial-lesson agreement and paid-lesson agreement separately.
Expected result
Overview shows exactly which readiness step remains, or your current account status once approved.
Use the Lessons and Groups sections
Upcoming shows active bookings and status-appropriate actions: accept or refuse, join, reschedule and cancel. Past keeps month-based history, including completed, canceled, refused or review-state lessons.
On the card, “Open conversation” opens the conversation with the student, shared across your lessons; the unread count belongs to that conversation.
Loaded bookings update automatically when the student cancels, including on additional pages. A canceled lesson remains visible without join or cancel actions. After rescheduling, the list refreshes the loaded pages in the displayed month. If the refresh fails, select Retry. If the lesson moved to another month, use the arrows to reach its new date. Originally quoted net is the amount agreed for the booking before your own taxes and contributions; after a refund, check the current amount in Earnings.
Groups is a separate main-menu section available after paid-teacher approval. It opens on Create; Upcoming and Past have separate lists with the date, occupied seats, and estimated net amount per seat when available. Open a card for participants and lesson actions. Load more continues the list; the displayed count includes only loaded lessons. You can view and manage existing events, but you can create a new one only after completing the steps needed to receive money. Until then, follow the step shown in Fiscal details and payouts. Once ready, choose the subject, seat price, capacity, and minimum attendance, then follow participants. A group lesson can be canceled but not rescheduled.
A group lesson must start at least 25 hours after you publish it; the form refuses a closer date. 24 hours before the start, Hola25 checks the minimum number of participants. If it is not reached, the lesson is canceled automatically and you and the enrolled students get a notification; the event page shows how many participants are still missing.
When you cancel the whole group lesson, Hola25 starts refunds for the amounts still owed back, including partially refunded seats. The number of students still enrolled is not the number of payments that may need a refund. Participants are notified, and banks may take time to show the money in their accounts.
If Hola25 rechecks eligibility while you are filling in a group lesson, your entered details stay in the form. Publication waits until the check confirms you are ready to receive money. If the check fails, the form stays filled in and publication waits for a successful check. The draft remains filled when switching between Create, Upcoming, and Past within Groups. It stays only while you remain in Groups, not after leaving the section, reloading the page, or changing accounts.
- Open Lessons → Upcoming and respond to active bookings.
- Use Past to view lesson history.
- In Groups → Create, complete the step shown for receiving money, then create and manage events without moving their time after publication.
Expected result
Every booking or event is managed from the correct list and unavailable actions are not replaced with manual shortcuts.
Use Students: My students and Forms
My students groups relationships created by lessons and opens relevant history for each student. Choose the relationship before reviewing lessons, conversation and progress so information is not mixed between students.
Forms stores the welcome message, preparation questions and received answers. Collect only lesson-necessary information; never request passwords, card data or sensitive documents.
- Open My students and choose the correct relationship.
- Open Forms for message, questions and responses.
Expected result
Each student's information stays in the correct relationship and the form prepares lessons without collecting unnecessary data.
Create and review Homework
Homework appears only while the product is enabled. Start from the correct tutor–student relationship, add instructions and a due date, then follow submission and student response in the same place.
Homework does not confirm lesson attendance or change a booking status. Files and feedback follow access to the current relationship; do not move responses between students.
- Open Students → Homework.
- Choose the student and verify the relationship.
- Create instructions and a due date, then follow submission and feedback.
Expected result
The assignment and response stay attached to the correct student and show the status owned by the product.
Publish from Posts only when it is enabled
Posts appears only when Tutor Posts is enabled. Use it for educational content connected to your profile and follow the displayed publication status.
When the option is absent, this is not a profile error and you should not seek a direct route; the function is off for the current environment or account.
- Open Posts when it appears in navigation.
- Create or update educational content.
- Check status before sharing the link.
Expected result
Posts are managed only through the available surface, without assuming access while the flag is off.
Read Reports: Statistics and Earnings
Statistics appears for Trial tutors or approved paid tutors and summarizes activity available to the account. Use displayed periods and labels; an empty number does not prove a payment or lesson is missing.
Earnings appears only after paid-teacher approval. Separate reserved, available, transferred, refunded or disputed amounts and follow fiscal/Stripe status; do not treat an estimate as a final transfer.
For transactions with available details, open Payer billing details. When the source is Stripe, only details received at payment are shown; some may be missing. Copy details copies available values only, and the CSV includes the source. A confirmed payment remains valid when these details are incomplete. Details are withheld while the amount is held; use them only for invoicing that lesson.
- Open Reports → Statistics and choose the period.
- When Earnings is available, compare the transaction with its lesson and payment status.
- Use support when a state does not resolve, without sending sensitive documents in a general message.
Expected result
You can tell the difference between an estimate, money still being processed, and money already sent.
Review Settings: General and Booking page
General brings together profile, separate legal documents for Trial and paid lessons, fiscal/Stripe setup when applicable, lesson email notifications and the ICS calendar link. Regenerating the ICS link invalidates the old one.
Booking page appears for the Trial path or non-rejected paid configuration. Edit public presentation and visual details, then review what the student sees.
- Open Settings → General and review every card relevant to your products.
- Generate or copy the ICS link only for your personal calendar.
- Open Booking page, save presentation and check the public preview.
Expected result
General settings and public page reflect available products while ineligible sections remain hidden or explained.
Add offered subjects and rates
Open Subjects. You can edit the description, qualifications, and video materials while a subject waits for approval. You can submit it without a rate, and submission may save it as active. Approval allows publication, but booking appears only after you complete the other steps. If you already selected trial-lesson durations, they stay saved and the offer may turn on automatically after approval. If anything is still missing, the card tells you what to do and shows Retry. For a rejected subject, select Resubmit to open a new request.
In the same edit dialog, the "Present your offer" section holds room for how you teach, what you practice together, how the first lesson goes and what materials are included. Use "Save presentation", separate from saving the description and qualifications.
Open Rates and expand the subject you want to configure. Add the offer, duration and amount transferred before your own taxes and contributions, then review the student's calculated final price before saving. The amount is set in RON only; an older tariff in another currency is labelled “Not bookable” until you edit it and set its amount in RON.
Paid one-to-one lessons can last 15–240 whole minutes. Trial lessons retain their separately available durations.
Keep active only offers you can deliver. Rates does not request legal documents; if an offer is hidden, follow the reason shown in the card.
In Settings → Booking page, add fun facts about yourself (up to 6) and choose an accent color. This is available for both Trial and paid lessons after you save your first subject. Both settings save automatically, and you can review them from View public page.
- Open Subjects and follow the approval state.
- Open Rates.
- Choose or add the subject.
- Enter the duration and transferred amount, then review the student's calculated price.
- Save and review the offer in the list.
Expected result
The subject shows at least one correct active rate for new bookings.
Personalize the booking page
Open Settings → Booking page. This section appears for Trial or paid lessons after you save your first subject.
Add up to 6 fun facts and choose the accent color. Each change saves automatically.
- Open Settings → Booking page.
- Add a short fun fact with an emoji.
- Choose the accent color.
- Check the preview or open the public page.
Expected result
The saved fun facts and accent appear in the booking-page preview.
Save availability and booking rules
In Availability, add recurring windows or available dates when lesson access is open for your account. For Trial, paid-application status does not change this access; for a paid-only account, rejection continues to block saving. Avoid overlap with other commitments.
In Booking rules, set buffer, minimum notice, future limit, manual or instant approval and pause state. Save before leaving the tab.
- Open Availability and save real teaching times.
- Choose buffer and booking limits.
- Choose manual or instant approval.
- Confirm bookings are not paused accidentally.
Expected result
The calendar keeps the schedule and rules you saved; students see them only after approval, readiness and visibility allow display.
Prepare the student message and forms
Open Students → Forms and configure the welcome message and intake questions for new students. Keep questions short and relevant to goals, level and lesson preparation.
Review order and wording before saving. Do not ask for passwords, payment details or personal data unrelated to the lesson.
- Open Students → Forms.
- Enter the welcome message.
- Add and review the questions.
- Save the configuration.
Collect only what is necessary
The form prepares the lesson; it is not for passwords, card details or sensitive documents.
Expected result
New students receive the saved message and forms in the intended intake flow.
If something does not work
Overview keeps showing a readiness step that looks complete.
Review application status and every displayed requirement. If all look complete, reload and contact support without sending sensitive personal information in the message.
The rate is saved, but the offer cannot be booked.
Check whether the offer is visible and has open times. Confirm you have a photo, the subject and rate are active, availability is saved, and bookings are not paused. If documents are missing, open Settings → Legal documents. Do not switch the offer off and on again.
I removed the photo, added another one, but the offer remains hidden.
Save the new photo and review every reason in Tutor Hub. Restoration is automatic only after administrative pauses, restrictions, approvals, and the other displayed conditions are clear; do not manually re-enable a choice that is already on.
Fiscal details and payouts asks me to correct information or wait for a check.
Follow the action on the card. Check the CUI and, if the details from ANAF are wrong, select "These details are wrong". Correct Hola25 and Stripe information separately. If the mismatch is on the Stripe side only, resubmitting your fiscal details will not help — update the name on Stripe or contact support. While the team checks it, do not submit it again unless asked. You can continue editing subjects, rates, and your schedule, but students cannot book paid lessons until the check is complete.
Teacher Hub shows “Finish your payout setup” or “We are checking your payout setup”.
Both point to the same place: Settings → Fiscal details and payouts. “Finish” means a step is yours — open the card and resolve the marked step. “We are checking” means the current step is with us or with Stripe; do not resubmit anything, come back later. The message appears once for all paid lessons, even when 1-on-1, group, and several subjects are blocked at the same time.
Saved times do not appear to students.
Check Availability eligibility, approval and readiness/visibility, then review minimum notice, buffer, maximum future window and overlaps. Save again only after the calendar shows the correct schedule.
Frequently asked questions
Why does Overview show readiness steps instead of my account status?
Approval or readiness to teach on the platform is incomplete — the rest of Tutor Hub's tabs stay visible, but Overview guides you to the step that is still missing. Follow the displayed status; an ordinary tutor profile does not automatically enable paid bookings.
Can I explore Tutor Hub before I am approved as a tutor?
Yes. An adult account that is not blocked can view the steps and configure open Tutor Hub surfaces before approval. Setup does not automatically grant approval, public visibility or permission to receive payments.
How do I submit my paid-lessons application?
Open Tutor account and submit the application from the booking card. The paid-lesson agreement is separate and may be confirmed before or after application approval. The application does not ask for country or tax residence; those details are completed separately after approval. Follow the response from "View request" or My requests.
Is there a quick setup guide?
Yes. The guide saves your basic profile, schedule, and first subject. If you have trial-lesson access, you can read the agreement, select “I agree” and choose “Confirm”, or choose “Later”; progress stays saved. Enabling the offer is a separate action. Paid lessons are set up separately in Tutor account.
Why is my subject unavailable for booking?
Check the Trial lessons card on Overview to see whether the offer is active and has open times. If it is hidden, follow the reason and action shown there. If your photo is missing, “Add photo” opens Settings → Your profile, where you choose and save it; documents open in a separate window. Selected durations stay saved, and the offer may turn on automatically after subject approval. If anything is still missing, the card shows Retry.
What happens if I remove the last photo after my offer is active?
After saving, listings and Trial, one-to-one, and group enrollment offers are hidden and stop accepting new bookings, including free sponsored enrollment. Existing lessons and courses remain unchanged. Add any photo for automatic restoration; an administrative pause or another active blocker still applies.
What commission does Hola25 charge for paid platform lessons?
Under the standard grid, you set the amount you want to receive before your own taxes and contributions. The percentages apply in tiers to the standard price before VAT on the fee: 25% on the first RON 50, 15% from RON 50 to RON 100, and 10% above RON 100, with an RON 8 minimum. The Hola25 calculator keeps the amount you selected; for example, without VAT on the fee, receiving RON 100 gives a standard booking price of RON 122.22. Always review the Rates preview before saving. Your VAT status does not change the amount you set or the calculated price; VAT on the Hola25 fee is added separately when required.
Why is the booking price higher than the amount I enter?
The amount entered in Rates is what you want to receive before your own taxes and contributions, not the booking's final price. The Hola25 calculator adds the platform fee separately and shows the booking price before you save.
Why isn't the booking price always a whole number?
The calculator rounds the price to the ban (0.01 RON), rather than up to the next whole leu. For the same details, the Rates preview is the standard price that is saved. For an eligible one-to-one payment, the booking discount comes only from the Hola25 fee and does not reduce the tutor's amount; it does not apply to Group seats.
Do direct-contact tutoring listings have a Hola25 commission?
No. The platform fee described here applies to lessons booked and paid through the platform. For a direct-contact listing, tutor and student arrange payment outside Hola25 checkout.
Can I change a rate without changing existing bookings?
Yes. The new rate applies to new offers and bookings; bookings that already exist are not rewritten automatically.
Can my fee differ from the standard grid?
A commercial rule may apply to your account, product, or period. Do not assume a percentage: the Rates preview shows the fee and booking price before you save.
Can I set up subjects and rates before fiscal details and Stripe are complete?
Yes. Unless your tutor application is rejected, you can configure subjects and rates independently of fiscal-file and Stripe status. A paid offer becomes public and bookable only after every displayed requirement for the account, product, and offer is satisfied.
What should I do after legal or bank details change?
If you change the person or business receiving payouts or the tax details, open Settings → Fiscal details and payouts and submit the updated information. Paid lessons stay unavailable while we check it. Change bank details only in Stripe. After a change, we check again that the information matches; follow the displayed action and do not send sensitive documents through general support.
Do I need an active tutoring listing to enable trial lessons?
No. Trial lessons are enabled from Overview for your approved platform subjects, whether or not you have a tutoring listing.
How do I promote my offer so it appears higher in the list?
From your Teacher account → Overview, choose “Promote your lessons”. Refreshing moves your offers up the list and can be used once every 24 hours; the button shows the remaining time. Premium subscribers appear ahead of other teachers.
I only offer trial lessons. Do I need the paid-teacher application or Stripe?
No. Trial lessons remain separate and require a complete profile with a photo, availability, an approved subject, current documents, and the necessary access. The extra paid-lesson steps apply only when you want to receive money for paid lessons.
How do I prevent last-minute bookings?
In Availability → Booking rules, increase the lesson buffer or minimum booking notice and save the change.
What can I send automatically to a new student?
In Students → Forms, save a welcome message and intake questions. Request only information appropriate to the educational purpose.
